Contact Verification Checklist
A checklist for verifying contact data accuracy before loading records into outreach sequences Get practical guidance for go-to-market teams.
Email Verification
- Run all email addresses through an email verification tool (ZeroBounce, NeverBounce, or similar)
- Remove or flag addresses marked as invalid or undeliverable
- Flag catch-all domains for manual review
- Check for disposable or temporary email domains and exclude them
- Verify that email format matches the company’s known pattern (first.last, firstinitial.last, etc.)
- Confirm no emails belong to shared inboxes (info@, sales@, support@) unless intentional
Phone Number Verification
- Validate phone number format (correct country code, digit count)
- Distinguish between direct dial, mobile, and main office numbers
- Flag numbers identified as disconnected or reassigned
- Remove fax numbers incorrectly stored as phone numbers
- Confirm area codes match the contact’s listed location
Identity and Role Verification
- Cross-reference job title against LinkedIn profile
- Confirm the contact still works at the listed company
- Check that seniority level matches your target persona
- Verify department alignment (Marketing, Sales, Operations, etc.)
- Flag contacts who have changed companies in the past 90 days
Company Data Verification
- Confirm company name matches the legal or commonly used brand name
- Validate company domain matches the email domain
- Check that employee count and revenue range are current
- Verify industry classification is accurate
- Confirm HQ location and any relevant regional offices
Pre-Sequence Final Check
- Remove duplicates from the verified list
- Check against your suppression list (existing customers, competitors, do-not-contact)
- Ensure all required CRM fields are populated
- Assign lead source and campaign attribution tags
- Confirm compliance with email regulations (GDPR consent, CAN-SPAM requirements)
- Load the verified list into your sequencing tool and spot-check 5-10 records manually
